This policy explains how ESTOPIA ENGINEERING LTD ("we", "us") handles information when you use Clockmint on iPhone, iPad, Mac and Apple Watch (the "app"), including its widgets, Live Activities, Siri and Shortcuts actions, and pre-release versions distributed through TestFlight.

For the information you store in Clockmint about your own clients, you're the controller and we have no access to it (see section 1).

The short version

  • There's no Clockmint account and no Clockmint server holding your work.
  • What you enter stays on your devices and in your own iCloud account. We can't see it.
  • No ads, no analytics, no tracking, and we never sell data.
  • If you email us, we use your email only to reply.
  • If you test a beta through TestFlight, Apple shares some technical information and any feedback you choose to send.

1. Information you store in Clockmint

To track time and run your business, you may enter:

This information is stored on your device. If iCloud is turned on, it's synced to your other devices signed in to the same Apple Account using Apple's iCloud services (the CloudKit private database and iCloud key-value storage). It's held in your own iCloud account under Apple's Privacy Policy. We don't operate a server that receives it, and we have no way to access it.

Details you enter about your own clients are your responsibility. For that information, you are the data controller, and Clockmint is simply a tool you use to manage it.

2. Information we collect

The app doesn't collect personal information for us. In particular, it contains:

This website doesn't use cookies, analytics or tracking either. Like any website, our hosting may keep short-lived server logs (such as IP address and pages requested) for security and to keep the site running.

3. Permissions the app may ask for

PermissionWhat it's used for
CameraScanning receipts for expenses. The image is saved with that expense in your data.
PhotosChoosing a receipt photo or logo. You pick the photo in Apple's picker, and the app only receives the one you choose.
CalendarsSuggesting recent meetings to log as time. Events are read on your device and nothing is uploaded.
NotificationsReminders you've turned on, such as a timer left running, an overdue invoice, a budget alert or the end of a focus session. They're scheduled on your device.
Face ID / Touch IDThe optional app lock. Apple handles the check, and the app only learns whether it succeeded. Your biometric data never leaves Apple's secure hardware.
Siri & ShortcutsVoice and automation actions such as starting a timer, including automations you set up for an NFC tag, a Focus or arriving at a place. Shortcuts runs the trigger; Clockmint only receives the action, never your location.
Motion & FitnessOnly if you turn on drive detection (iPhone). Clockmint reads the motion activity iOS already keeps to notice when you were in a vehicle.
LocationOnly if you turn on drive detection (iPhone). Clockmint saves low-power location changes on your iPhone to measure the distance of drives for mileage claims. They're kept for 8 days, never synced or sent anywhere, and deleted when you turn detection off or your Clockmint Pro subscription ends.

You can change any of these at any time in your device's Settings.

5. Files you export

Invoices, timesheets, CSV files and backups you create are saved or shared only where you choose, such as Files, Mail or Messages. Once you send a file, the recipient and the service you use handle it under their own terms.

Unless you turn it off, Clockmint also saves a backup file once a week on each of your devices, keeping the last eight, and keeps things you delete on that device for 30 days so you can restore them. Both stay on the device and are included in its own backups.

6. Beta testing through TestFlight

If you test a pre-release version through Apple's TestFlight, Apple collects information and shares it with us under the TestFlight terms. Depending on how you joined, this can include your name and email address, device model and operating system version, installs and sessions, crash reports, and any feedback and screenshots you choose to send. We use it only to find and fix problems and improve Clockmint, and we don't combine it with any other data. You can stop testing at any time in the TestFlight app.

7. When you contact us

If you email us, we use your email address and what you tell us only to reply and help you. We keep these messages for as long as needed to deal with your request, and then delete them.

Under UK and EU data protection law (the UK GDPR and GDPR), you have rights over personal data we hold about you. These include the right to access, correct, delete or restrict it, to object to how it's used, and to receive a copy. As we hold almost nothing about you, this usually relates to emails you've sent us. To make a request, email support@estopia.net.

If you're unhappy with how we've handled your information, you can complain to the UK Information Commissioner's Office at ico.org.uk, or to your local data protection authority.

10. Children

Clockmint is a business tool and isn't intended for children under 13. We don't knowingly collect information from children.

11. Security

Your data is protected by your device's security and by Apple's iCloud encryption. You can also turn on the app lock in Settings → Security. Keep your device passcode and Apple Account secure, as they protect your Clockmint data too.

12. Changes to this policy

If we change how Clockmint handles information, we'll update this page and the date at the top. Significant changes will also be mentioned in the app's release notes.
